Microsoft 365 email signature management

On Microsoft 365, the Sendoff Outlook add-in adds each person’s current signature as they write a new email. Your admin deploys it to everyone through Centralized Deployment, and directory sync keeps titles and phone numbers current.

  1. 1

    Grant admin consent

A Microsoft 365 admin approves the Sendoff app in Entra ID. It reads user profiles (name, job title, department, phone, photo) to build signatures.

  2. 2

    Sync your directory

Sendoff pulls users from Entra ID hourly and on demand, creating signatures for new hires and archiving leavers.

  3. 3

    Deploy the Outlook add-in

Download your workspace’s add-in manifest and deploy it from the Microsoft 365 admin center (Integrated apps). Centralized Deployment can take up to 24 hours to reach every mailbox.

  4. 4

    Write an email

When someone composes a message, the add-in fetches their signature from Sendoff and inserts it. Change the template and the next email uses the new version.

How it works under the hood

  • The add-in uses event-based activation (OnNewMessageCompose) and Outlook’s setSignatureAsync. No transport rules, no mail routing.
  • Supported in Outlook on the web, the new Outlook for Windows and current versions of classic Outlook and Outlook for Mac that support event-based add-ins.
  • For older Outlook versions, people can install the same signature manually from their portal with a downloadable HTML file.
  • Graph permissions are read-only for the directory.
