Update email signatures when job titles change

Promotions, new phone numbers and renamed departments leave stale signatures behind. How to keep them current from your directory.
The Sendoff team2 min read

To update signatures automatically when someone's title changes, the signature has to be built from your company directory, not typed by hand. Keep the job title, department and phone in Google Workspace or Microsoft Entra ID, then regenerate each signature from that data whenever it changes. Anything typed directly into a mail client goes stale.

Admins raise this whenever company-wide signatures come up: the promotion goes through in HR, but the email signature says the old title for months.

Step 1: make the directory the source of truth

  • Google Workspace: each user has job title, department and phone fields in the Admin console. They can also be updated in bulk by CSV.
  • Microsoft 365: the same fields live in Entra ID and can be edited in the admin center or synced from on-premises Active Directory.

Agree who updates them. Usually HR or IT changes the directory as part of the role-change process.

Step 2: regenerate the signature from the directory

You need something that reads the directory and writes the signature.

  • Microsoft 365 mail flow rules can insert attributes such as display name and title into a server-side disclaimer.
  • Gmail API scripts can read each user from the Directory API and write their signature.
  • Signature management tools do both steps and handle the HTML.

Step 3: decide how often to sync

Once a day is usually enough. More important is that the sync also catches new users and removes people who have left.

Common snags

  • Empty fields. If someone has no mobile number, the template should hide that line instead of showing a label with nothing after it.
  • Titles written for HR, not customers. "SNR ACCT MGR II" may be accurate but reads badly. Agree a readable format.
  • Personal overrides. Some people need a different display title. Decide whether a person can override the directory value.

Where Sendoff fits

On the Team plan with Google Workspace connected, Sendoff syncs people from your directory on a schedule, including name, title, department, phones, photo and aliases, and rebuilds their signatures from your template. Deploy pushes the new version to Gmail. Admins choose which fields members can edit in their portal. Microsoft 365 directory sync is listed as coming soon in the app.

FAQ

Can a mail flow rule replace the personal signature? It can add a server-side footer with some user attributes. Design control is limited and the sender does not see it while writing.

What about people who are not in the directory, such as contractors? Add them by hand or by CSV import and keep their details in the signature tool.
