Managing email signatures for multiple clients

MSPs and agencies often manage signatures for several client companies. How to keep each client separate, on-brand and easy to update.

To manage signatures for several clients, keep each client completely separate: its own templates, people, branding and admin access. Then standardise how you work across all of them, with the same structure, the same install guides and the same update process. MSPs ask about this regularly, usually comparing Exclaimer and CodeTwo for Microsoft 365 tenants.

What clients need

  • Their brand, not yours. Each client has its own logo, colours and disclaimer.
  • Quick updates. "We changed our address, can you update everyone by Friday?"
  • Someone on their side who can edit. Often an office manager who wants to change a banner without raising a ticket.
  • Predictable cost. Per-user pricing that does not surprise them.

What you need

  • One login, many clients. Switching tenants and passwords for every small change does not scale.
  • Clear separation. A change for one client must never reach another.
  • Reusable work. Build a template structure once and adapt it per client.
  • A consistent install process for clients without automatic deployment.

Options by platform

  • Microsoft 365 clients: server-side tools such as Exclaimer and CodeTwo are common because they sign mail from every device. Mail flow rules are a free fallback for simple footers.
  • Google Workspace clients: an admin can push signatures through the Gmail API. Tools that use it handle the HTML and the updates.
  • Mixed or very small clients: many simply need a good HTML signature and a clear install guide for each person.

Where Sendoff fits

Sendoff's Agency plan gives you one account with a separate workspace for each client, five client workspaces included, plus an optional white-label member portal so client staff see your brand. Each client workspace has its own templates, departments, people and disclaimers. For Google Workspace clients, you can connect their tenant and deploy signatures to Gmail. Microsoft 365 sync is listed as coming soon in the app, so for Microsoft 365 clients today, staff install their signature from the portal by copy and paste.

Plan details are on the pricing page. If most of your clients need server-side Microsoft 365 signing today, compare it with CodeTwo and Exclaimer.

FAQ

Can a client's office manager edit their own signatures? Yes. Give them a manager role in that client's workspace. They cannot see other clients.

Can I bill clients for signatures? That depends on your own agreements. Sendoff bills your agency account.
