Email signature click tracking: how it works

How signature tools count clicks and views, what the numbers can and cannot tell you, and the privacy questions to answer before you turn it on.

Signature click tracking works by sending each link through a short redirect: the click hits the tracking server, gets counted and forwards the reader to the real page. Some tools also add a tiny invisible image to estimate how often the signature is seen. Clicks are fairly reliable. View counts are rough, because many mail apps block, preload or cache images.

The topic splits opinion. Marketers want to know if the banner works. Sysadmins ask whether tracking pixels in mandatory signatures are acceptable. Both are fair, so here is how it works and what to decide first.

How clicks are counted

  1. The signature link points to a tracking address instead of the final page.
  2. When someone clicks, the server records the click and redirects them.
  3. Good tools filter out link scanners and repeated hits within a few seconds.

You can also skip a tracking tool: add UTM parameters to signature links and read the visits in your web analytics.

How views are estimated

A 1×1 image is loaded from the tracking server when the email is opened. That number is unreliable:

  • Many clients block remote images until the sender is trusted.
  • Some mail services fetch images through a proxy or preload them, which can count opens that never happened.

Treat views as a trend, not a count.

Privacy questions to answer first

  • Tell your staff. If signatures are mandatory, people should know the links and images are tracked.
  • Tell recipients. Mention tracking in your privacy notice if it covers personal data.
  • Store as little as possible. Aggregate counts are usually enough. You rarely need to know which recipient clicked.
  • Offer an off switch for teams that do not want it, such as legal or HR.

What the numbers are good for

  • Comparing two banners.
  • Seeing whether a campaign gets any interest at all.
  • Spotting broken links.

They are not a reliable measure of who read a specific email.

Where Sendoff fits

On paid plans, Sendoff counts signature link clicks through short redirect links and estimates views with a 1×1 image. It hashes IP addresses instead of storing them, skips known bots and counts repeat hits only once. Workspace admins can turn tracking off entirely. Results show by link, banner and campaign, which helps compare signature banner campaigns. See campaigns for how banners and scheduling work.

FAQ

Is signature tracking legal? It depends on your jurisdiction and how you inform people. Take advice if you are unsure, and keep it to aggregate counts.

Will tracked links look suspicious? Redirect links can occasionally be flagged by security filters. See signature links flagged as phishing.
