Email signature logo not showing for recipients: fixes
If recipients don't see your signature logo, their mail app is probably holding back external images. Outlook, Gmail and Apple Mail all wait for the recipient to allow pictures, and you cannot change that from your side. Build the signature so it reads without images, then tell recipients how to turn them on.
Why the logo is hidden
Mail apps block remote images for privacy. A remote image is fetched from a server, and that fetch can tell the sender the message was opened. So the app asks first. The decision belongs to the recipient, and nothing in your signature can override it.
Each app handles it differently:
- Outlook blocks automatic picture downloads by default. A bar at the top of the message offers Download Pictures.
- Gmail can be set to ask before showing external images. It also does not show images automatically when it considers a sender or message suspicious.
- Apple Mail can show "Unable to load remote content privately" at the top of a message. The recipient taps Load Content to see the pictures.
How recipients turn images on
Outlook (classic)
- Select Download Pictures in the bar at the top of the message. Pictures stay visible when the message is opened later only if it is saved. Previewing it in the Reading Pane saves it.
- To trust one sender, right-click a blocked picture and choose Add Sender to Safe Senders List or Add the Domain to Safe Senders List.
- To change the setting for every message, go to File > Options > Trust Center > Trust Center Settings, then clear Don't download pictures automatically in HTML e-mail messages or RSS items. On Microsoft 365, use the Automatic Download tab instead.
Microsoft's article covers classic Outlook only and does not mention new Outlook. If the new app looks different, these steps may not match it.
Gmail (computer)
- Click the gear icon, then See all settings.
- In the Images section, choose Always display external images, then click Save Changes.
To show the pictures in one message only, click Display images below inside that message.
Apple Mail
Tap Load Content when Mail shows the "Unable to load remote content privately" notice. Apple says this bypasses the warning. Apple's page does not give the path to Mail Privacy Protection settings, so this guide does not either.
Design the signature for images off
- Write your name, title, phone and email as live text. Never put them inside an image. That text is what reaches a recipient whose app blocks the logo.
- Give the logo alt text. Screen readers announce it, and the W3C images tutorial explains how to write it well.
- Set width and height on every image. An explicit size reserves the logo's space, so the rest of the signature does not jump when the picture loads or never loads.
- Don't make the logo your only link. Put a text link to your website or booking page next to it.
- Skip image-only signatures. A signature that is just a banner gives the recipient nothing to read when pictures are off.
Test with images off
- Send a test message to a second account that uses default image settings.
- Open it in Outlook, Gmail and Apple Mail without downloading pictures. Check that your name, title and phone are readable and the links work.
- Open it again with pictures on. Check that the logo is the right size and sharp.
How Sendoff handles this
Sendoff renders the logo with explicit width and height, and its alt text is your company name. Your name, title, phone and email are plain text inside the table, not part of an image. Images are hosted on a public HTTPS address. Sendoff cannot change a recipient's settings, so the signature is built to be read with images off.
Build one in the free email signature generator. If the logo still fails in Outlook after the recipient allows pictures, read why Outlook signature images are not showing.
