How to add a booking link to your email signature
Need a signature that works in Gmail and Outlook? Build one free in about two minutes, no account needed.
Make my signatureCreate a booking page in your calendar tool, copy its public link and add it to your signature as a short text link such as "Book a 20-minute call". In Google Calendar, booking pages are called appointment schedules; you create them on a computer, not in the mobile app, and some features need an eligible Google Workspace or Google One plan. Keep the link label specific so people know what they are booking.
Get the link
- Google Calendar: create an appointment schedule on a computer, open it, click Share and copy the booking page link. Anyone with the link can see the schedule title, so name it with care. On work accounts, your admin may control access.
- Microsoft 365: Microsoft Bookings gives you a booking page with a shareable link, if your organisation has it turned on.
- Calendly and similar tools: copy your scheduling page link from the dashboard.
Add it to your signature
- Open your signature settings in Gmail or Outlook.
- Type the label, for example "Book a call with me".
- Select the label, add a link and paste the booking URL.
- Save and send yourself a test.
A text link is safest. A button made from an image may be blocked until the recipient loads images; a button made from a styled table cell shows up immediately.
Good practice
- One booking link only. Two calendars confuse people.
- Say the length: "Book a 30-minute demo".
- If you send many internal emails, consider whether colleagues need the link at all.
In Sendoff's free generator you can add a booking button with your own label, built as HTML so it shows even with images off.
FAQ
Can I create a Google Calendar booking page on my phone? No. Google says to create appointment schedules on a computer.
Is a booking link in my signature safe? It reveals the schedule title and your free slots to anyone with the link, nothing else.
Text link or button? Both work. A text link is the most reliable across email clients.
