Add a logo to a Gmail signature (and fix a missing one)

Insert a logo into a Gmail signature from a web address, Google Drive or an upload, the sharing rule that hides Drive images, and the sizes Google recommends.

Open Gmail on a computer, go to See all settings, then General, scroll to Signature and click Insert image. Choose a public web address, a Drive file shared with anyone who has the link, or an upload. Google recommends an image 70 to 100 pixels high and 300 to 400 pixels wide.

How do I add a logo to a Gmail signature?

Gmail's signature settings are on the web, so do this on a computer. The steps come from Google's signature help.

  1. Click the gear icon, then See all settings.
  2. On the General tab, scroll down to Signature.
  3. Click Insert image.
  4. Pick one of the three sources:
    • Web Address (URL): paste the image's public address, wait for the preview, then click Select.
    • My Drive: choose the image, then click Select. The file must be shared publicly first.
    • Upload: drop the file into the window or click Select a file from your device.
  5. Click Save Changes at the bottom of the page.

Then send a test message to an address outside your organization and check the logo there. The settings preview may not match what your recipients see.

Why won't the logo show in Gmail?

Most logo problems come from the image's address, not from Gmail.

  • The Drive file is private. Google says an image from Drive must be shared publicly to appear in a signature. In Drive, choose Share, then Get link, and set it to Anyone with the link as a viewer. On a work or school account, your administrator may need to allow public sharing.
  • The URL needs a login. A web address image must be publicly available on the web. A link to an intranet file, a password-protected page or a temporary download link will not work for the people who receive your mail.
  • Plain text mode is on. In a new compose window, open More options and uncheck Plain text mode, then edit your signature again.
  • The upload stalls or fails. Delete the image from the signature, then add it again using a different source. Google's troubleshooting page also suggests trying another browser or an incognito window. In Chrome, clear cached images and files and clear cookies for mail.google.com, then allow cookies for that site.
  • The signature is too long. Gmail allows up to 10,000 characters in a signature. A long disclaimer, several banners and a large logo can push a signature over that limit.

What size should the logo be?

Google's troubleshooting page recommends an image 70 to 100 pixels high and 300 to 400 pixels wide, and gives a maximum of 100 pixels high by 1,000 pixels wide. The recommended figures describe a wide, short image. A square logo cannot meet the width range at that height, so treat the numbers as a guide and keep the logo in proportion. Do not stretch it to fill the box. If the logo appears far too large, resize it before you upload it. Google's page also lists Small, Medium, Large and Original size options in the signature editor.

A Google Help Community thread titled "My signature image getting very big even if I choosen small in the signature setting" describes the same symptom. Google's own advice is to resize the image before you upload it.

How does Sendoff handle the logo?

Sendoff sets the logo at 120 pixels wide by default. You can change the width from 40 to 240 pixels, and the height follows the logo's proportions. An uploaded logo is stored as a public PNG, so every copy of the signature points to a hosted file rather than a pasted image. The logo links to the address in the logo link field, or to your website if that field is empty. Gmail's 10,000-character limit is shown on a size meter as you edit, and the editor warns you when the signature goes over it.

To put the signature into Gmail, use Copy signature and follow the Gmail setup steps.
