How to add a signature in Zoho Mail and fix common problems
Zoho Mail has three steps: create the signature under Settings, link it to the From address you send from, and turn on the reply option if you want it on replies. The linking step is the one people skip. A saved signature does nothing until it is associated with an address.
How do I add a signature in Zoho Mail?
- Sign in to Zoho Mail and click the Settings icon.
- Go to Signatures, then click the + icon.
- In the Add Signature popup, enter a Name. Zoho does not allow two signatures with the same name, so pick a distinct one.
- Enter your details and format them. To paste HTML from another tool, use the Insert HTML option in the editor.
- Choose the address under Associate Mail Address, then click Save.
Why does my signature not appear in new emails?
Zoho adds a signature automatically only when it is linked to a From address. Open the signature and look at Associated From address(es) for new emails. Select the address there. From then on, the signature fills in whenever you compose from that address.
To use a different signature for one message, click the Signature icon or the Insert Signature option in the composer. The selected signature replaces the default for that email only.
How do I add the signature to replies?
- Click the Settings icon in the top pane.
- Select the Add signature to all my email replies checkbox under Signature for replies.
- For a shorter reply signature, open the signature and pick the address under Associated From address(es) for the replies.
Zoho says the reply option has to be on before replies get a signature at all. While you reply, you can place the signature below the quoted text or below the reply you just wrote. For how Gmail and Outlook handle a separate reply signature, see the guide on different signatures for replies.
Why do images disappear for recipients?
- The image has no public URL. Zoho's help says that when you build a signature from HTML, the images should have a working public URL so they can be fetched and displayed. A file that exists only on your computer does not have one.
- Use an inline image instead. If you have no public URL, insert the image with the Insert Image option. Zoho says you can resize it there.
- The format is not supported. Zoho accepts GIF, JPG, JPEG, BMP and PNG, and says no other formats are supported. Convert SVG or WebP files first.
- You want the logo to link somewhere. Click the image, choose More, then Link, enter the URL and click Insert. Then click Save or Update.
Why does the formatting disappear?
- You are composing in plain text. Zoho's help says formatting, images and hyperlinks in a signature are not shown in plain text. Write the message in rich text (HTML) to see the signature as designed.
- The signature is locked. An administrator can assign a signature to your account. Those show a lock icon, and you cannot edit them or link another signature to that address. Ask your administrator for a change.
- You used a custom emoji. Zoho does not allow custom emojis in signatures. The built-in emojis work.
What if the signature will not save?
Zoho's community has threads reporting that signatures with a horizontal line, two paragraphs or a small logo would not save, that the editor reverted to a single plain-text line after a refresh, and that a signature was cut short in the Sent folder. I found no official Zoho fix for these reports, so use this routine:
- Save the signature, close Settings, then reopen it and check the whole text.
- Send a test message to an address outside your account, then open the copy in the Sent folder.
- If something is missing, remove the most complex part, often a logo or a horizontal line. Save, then add it back in a separate save to find the element that breaks.
How Sendoff handles this
Sendoff builds the signature as an HTML table with inline CSS and hosted images. Copy signature puts the formatted version on your clipboard. Copy HTML gives you the raw code for editors that accept HTML, such as Zoho's Insert HTML option. Images you upload get public URLs, which is what Zoho asks for in an HTML signature.
The size meter in the generator measures the HTML against Gmail's 10,000-character limit. Zoho's help page does not state a limit, so treat that number as a guide, not a Zoho rule. The free generator is at /email-signature-generator.
