Email signature appears twice? Find and stop the duplicate

Your signature shows up twice when two sources add it. Find the second source in Gmail, Outlook and Google Workspace, and stop the copy in replies.

Make my signature

A signature appears twice when two sources add one: your own signature in Gmail or Outlook, plus an organization tool such as a Google Workspace footer or an Exchange disclaimer rule. Turn off one of them. In a long reply chain, an Exchange rule also needs an exception, or it adds a copy to every reply.

Which source is adding the second copy?

Check three places, in this order:

  1. Your personal signature in the mail app (Gmail or Outlook).
  2. An organization footer or disclaimer set by an admin.
  3. A signature add-in or third-party tool connected to the account.

Send a new message and a reply to an outside address, then compare. If both copies appear only in the reply, the cause is usually the reply setting. If the copy appears on new messages too, it is a second source.

How do I stop Gmail from adding my signature to replies?

  1. Open Gmail and select the gear icon, then See all settings.
  2. In the General tab, scroll to Signature.
  3. Set the default for emails you reply to to no signature. Google describes this as choosing a signature default "for new emails and emails that you reply to."
  4. Select Save Changes at the bottom of the page.

How do I stop Outlook on the web from adding my signature to replies?

  1. Select the Settings gear, then go to Accounts > Signatures.
  2. Select the signature you want to change.
  3. Clear the checkbox for replies and forwards at the bottom of the editor. Leave the new-messages checkbox on if you want the signature in new mail.
  4. Select Save.

If you clear both checkboxes, Outlook on the web does not add the signature automatically. You insert it by hand with Message > Signature when you compose.

How do I stop an Exchange disclaimer from repeating in a conversation?

An admin sets this. A mail flow rule (transport rule) that appends a disclaimer runs on each message it matches, including replies, so the text stacks. Microsoft's answer is an exception that matches text only the disclaimer contains.

  1. In the Exchange admin center, go to Mail flow > Rules and open the disclaimer rule.
  2. Under Except if, choose The subject or body, then Subject or body matches these text patterns.
  3. Enter a phrase that appears only in the disclaimer, such as its first sentence, and save.
  4. Test first. Microsoft recommends testing rules before setting them to Enforce, and suggests forwarding a test message to yourself to confirm no extra copy appears.

Microsoft's article gives this as the way to avoid multiple disclaimers in an email conversation. A signature that repeats at the bottom of each message in a thread can come from this rule.

What about a Google Workspace footer?

A Workspace footer is added at the admin level, so removing a personal signature from the user does not remove it. Check these settings:

  • The footer applies to all messages, including messages sent from Google Workspace email aliases.
  • Footers can be turned on for internal messages as well. If the copy only appears internally, turn off the internal footer.
  • The footer editor allows up to 10,000 characters, and images must come from a public web server, not Google Drive.
  • Plain-text messages get a plain-text footer with no images or formatting.
  • Changes can take up to 24 hours to take effect.

Pick one place for the signature. Keep either the personal signature or the footer, not both.

Troubleshooting: the copy returns after I delete it

  • You removed your signature, but a copy still arrives. The admin footer or disclaimer is still active. Check the admin console or the Exchange rule before editing user settings.
  • The fix does not show yet. Workspace footer changes can take up to 24 hours. Send a fresh test after that, not a reply to an old thread.
  • Forwarded or replied messages gain another copy. The Exchange rule has no exception. Add the unique-text exception from the section above, then forward a test message to confirm.

How Sendoff handles this

The signature generator builds one HTML block. Paste it in one place only. If a second copy appears, check the Gmail setup guide and the admin steps above before changing the HTML, since the HTML is rarely the cause.
